The opportunity:

The Paralegal role is the primary owner of the Legal department’s day-to-day operational functions, including contract and vendor due diligence management, legal document intake and processing, subpoena response coordination, marketing materials legal review, and legal records management. The Paralegal operates with a high degree of accuracy, manages competing legal deadlines, and serves as the Legal Department’s principal point of contact for operational legal matters across the organization.

What you’ll do:

  • Manage the full lifecycle of inbound contracts and vendor agreements: conduct intake, initial review, and redlining; upload and track in the Venminder platform per established naming and workflow conventions; and maintain a contract log with executed agreements filed in SharePoint.
  • Perform initial review and redlining of marketing referral agreements and other partnership contracts for review and approval.
  • Support the vendor due diligence process end-to-end: issue and track due diligence requests, follow up on outstanding submissions, escalate unresolved items, and draft internal communications to business units regarding submission requirements and timelines.
  • Manage the intake, review, and response coordination for all subpoenas, including document collection, departmental liaison, coordination with outside counsel as needed, and timely submission within legal deadlines.
  • Review, process, and maintain Power of Attorney (POA) documentation and divorce decrees in accordance with established procedures, and escalating complex matters.
  • Manage beneficiary escalation cases requiring legal review, including documentation, analysis, and coordination with the operations team.
  • Draft, review, and manage Mutual Non-Disclosure Agreements (MNDAs), including execution tracking and secure storage per established filing and naming conventions.
  • Serve as the primary Legal reviewer for all marketing content prior to publication — including email campaigns, blog posts, social media, videos, disclosures, and disclaimers — ensuring content is legally accurate, compliant with applicable regulations, and free from misleading claims. Coordinate with Compliance for regulatory compliance-specific sign-off where required.
  • Draft, review, and finalize cease and desist (C&D) letters with manager sign-off prior to issuance; monitor and triage incoming legal correspondence.
  • Conduct intake and review of Registered Investment Advisor (RIA) certification submissions per established procedures; maintain records of certifications reviewed and approvals granted.
  • Serve as a resource for the Compliance team on legal questions, assist with ad hoc research and drafting, and coordinate with outside counsel on document requests and matter updates as directed.
  • Maintain organized, accurate legal records across all matter types in SharePoint, supporting the organization’s document retention protocols and ensuring all legal instruments are filed per established procedures.
  • Support the review and updating of client-facing account disclosures — including IRA plan agreements, fee schedules, and product-level disclosures.
  • Manage and prioritize incoming legal requests across shared inboxes and ticketing systems, ensuring timely triage, routing, and resolution tracking in alignment with Legal Department service standards and deadlines.
  • Support special projects and strategic initiatives at the direction of senior legal management, including research, documentation, cross-functional coordination, and deliverable preparation, adapting to evolving priorities with a high degree of professionalism and discretion.

What we’re looking for:

Education & Credentials

Associate’s or Bachelor’s degree required; a Paralegal Certificate from an ABA-approved program is strongly preferred.

Experience

Three or more years of paralegal or legal operations experience in a regulated financial services, fintech, or trust company environment, typically acquired through 3–5 years in a comparable role. We’re looking for demonstrated, hands-on experience across contract lifecycle management (including NDAs and vendor agreements), subpoena intake and response workflows, marketing materials legal review, and familiarity with IRA, retirement account, or trust-related legal documents.

Regulatory & Industry Knowledge

Working knowledge of applicable financial regulatory frameworks — including Nevada FID requirements, BSA/AML regulations, and SEC/FINRA rules — is strongly preferred. Experience with trust company operations, self-directed retirement products, or fintech regulatory environments will set you apart.

Technology & Systems

Proficiency in Microsoft Office Suite (Word, Excel, Outlook), SharePoint, and CRM platforms such as HubSpot. Familiarity with Venminder or comparable vendor management and contract tracking systems is a plus.

$30 – $42 an hour
