Job Description
We are seeking a highly organized and detail-oriented Recruitment Operations Coordinator to support our recruitment operations. This role focuses on execution, coordination, and administrative excellence, enabling Senior Recruiters to concentrate on candidate evaluation and hiring decisions. This is a coordination-focused position and does not involve candidate screening or hiring decisions.
Key Responsibilities:
- Manage and maintain candidate pipelines within the ATS
- Ensure all candidate records and documentation are accurate and up to date
- Upload resumes, interview notes, and supporting materials
- Schedule interviews across multiple time zones
- Coordinate calendars between candidates and recruiters
- Send interview confirmations, reminders, and meeting links
- Support candidate communications using approved templates
- Request missing documents and confirm candidate availability
- Prepare candidate files for recruiter review
- Track recruiter follow-ups and recruitment timelines
- Maintain internal trackers and recruitment reports
- Identify and flag delays or process bottlenecks
Requirements:
- Minimum 2+ years’ experience in recruitment coordination
- Minimum 2+ years’ experience working with US clients
- Strong organizational and time-management skills
- Ability to manage multiple tasks and deadlines simultaneously
- Experience working with ATS platforms and scheduling tools
- Clear and professional written communication skills
- Ability to follow established processes and SOPs precisely
- Reliable, consistent, and execution-focused work style
- Proactive approach with strong ownership mindset
- Ability to remain calm and organized under pressure
