Job Description

You will be the operational backbone for a fast-moving digital agency, handling the technical setup and execution of website projects from start to finish. This role puts you at the center of client deliverables, working directly with AI tools like ChatGPT and Lovable to build website structures, implement customer changes, and ensure smooth project handoffs. You will work from a daily to-do list provided by the founder, giving you clear direction while allowing you to take ownership of completing tasks independently. As the company scales with new sales team members, your workload will grow and diversify, offering you exposure to administrative tasks, customer communication, and various aspects of running a digital services business. 

Client Overview:

Our client is a growing Swedish-based digital agency specializing in website development, systems, and marketing solutions. They work with a diverse range of customers and are currently expanding their sales team to accommodate increased demand. The company uses modern AI-powered tools and streamlined processes to deliver efficient web solutions to their clients. 

Schedule:

• Monday to Friday, 9:00 am to 6:00 pm (Central European Time, 40 hours per week)

Responsibilities:

• Set up initial website structures based on client meetings and provided examples using Lovable and ChatGPT 
• Execute customer-requested changes to existing websites based on email instructions from the founder 
• Finalize and publish completed websites according to project specifications 
• Navigate and work within the company’s custom CRM system to track project progress 
• Work through daily to-do lists provided by the founder, completing tasks independently 
• Handle occasional WordPress-based projects as needed 
• Respond to customer emails and manage administrative communications 
• Adapt to new tools and processes using provided guides and documentation 

Must-Have Requirements:

• Comfortable navigating and working with AI tools, specifically ChatGPT and Lovable 
• Tech-savvy with the ability to learn new digital tools and platforms quickly 
• Experience setting up or working with website structures and basic web development concepts 
• Strong ability to follow instructions and work independently from task lists 
• Excellent written communication skills for handling customer correspondence 
• Reliable internet connection and computer setup for full-time remote work 

Nice-to-Have Requirements:

• WordPress experience is a strong advantage.
• Prior experience with CRM systems is highly regarded.
• Previous virtual assistant experience supporting digital agencies or web development teams is a plus.
