Job Description

We’re looking for a smart, proactive, and emotionally intelligent operator to work directly with our founder. Your mission is to expand and manage the founder’s network of relationships — with clients, partners, and influencers — while keeping communication and follow-ups running seamlessly.

This isn’t a traditional assistant role. It’s a relationship-driven operator position for someone who loves startups, understands people, and can represent a founder with judgment, warmth, and precision.

You must have near-native written English and be able to write naturally, persuasively, and in the founder’s tone across different audiences.

What you’ll do:

  • Manage and nurture key relationships — stay in touch with referral sources, clients, and other important contacts; send thank-you notes when needed; and keep interactions tracked in HubSpot.
  • Develop partnerships and collaborations — research and engage potential partners (accelerators, communities, SaaS tools, etc.), manage outreach and follow-ups from the founder’s name, and track progress in HubSpot.
  • Handle influencer outreach (lightweight) — identify and build relationships with a small group of relevant influencers and coordinate collaborations.
  • Maintain organized systems & reporting — keep HubSpot updated and provide concise weekly summaries of progress, new connections, and follow-ups.
  • Document systems and processes — record workflows, templates, and communication processes for transparency and consistency across the team.
  • Handle core administrative support — manage the founder’s inbox, calendar, and follow-ups to ensure smooth operations and free up time for strategic work.
  • Communicate and act on the founder’s behalf — write and correspond in the founder’s tone, protect confidentiality, and represent the company with clarity and professionalism.

  • Curious networker. Naturally interested in startups, investors, and founders — enjoys connecting dots and learning who’s behind what.
  • Organized operator. Keeps track of dozens of relationships, conversations, and follow-ups with flawless attention to detail; never lets things slip.
  • Proactive problem-solver. Spots opportunities or issues early and takes initiative to act — doesn’t wait for instructions.
  • Mimic ability. Can write and communicate as the founder with precision in tone, judgment, and phrasing.
  • Trustworthy & discreet. Handles sensitive information and communications with absolute confidentiality and professionalism.
  • Comfortable with ambiguity. Thrives in unstructured environments; builds simple systems to bring order and clarity without being told.
  • Fast writer & researcher. Can quickly draft thoughtful outreach, follow-ups, or summaries, and find credible background info within minutes.


What you’ve done (past experience):

  • Worked directly with a founder, executive, or investor — in a Chief of Staff, Founder’s Associate, EA, or Partnerships role, managing communication and priorities.
  • Experience in startups, venture capital, or tech ecosystems, understanding how founders and operators interact.
  • Managed external relationships or partnerships — clients, communities, or influencers — not just internal projects.
  • Written professional communication in near-native English on behalf of a company or executive, adapting tone to context and audience.
  • Proven ability to stay organized and reliable using tools like HubSpot or similar CRM systems.

What success looks like at 3 months:

  • Can draft 90% of outbound communication in the founder’s tone with minimal editing.
  • 100% of active referrals, partners, and influencer conversations logged in HubSpot.
  • At least 20 net new or reactivated relationship touchpoints initiated per month.
  • ≥ 95% of follow-ups completed within 2 business days.
  • Inbox, calendar, and follow-ups handled smoothly without reminders for 3+ weeks.
  • Weekly summaries delivered consistently with clear highlights and next steps.
  • Core workflows and outreach processes documented.
