Job Description

Are you a proactive, professional project manager who’s looking to take on their next challenge and push themselves in a remote-first business? We’re Wingspan Media, and we help top founders and CEOs write some of the most viral content on X and LinkedIn, gaining millions of monthly impressions through personal posts, viral storytelling, and thought leadership. 

As a Project Manager / Executive Assistant, you will be working directly with Wingspan Founders Kaz and Dan (as well as the wider team), who are striving to go from 0-$1M ARR in year 1. You will be a crucial part of the Wingspan operations, and your voice and suggestions may directly impact the performance and direction of the business. If you are looking to be another cog in a very large machine, this role is not for you. But if you’re ambitious, eager to learn, and are looking for a fast-paced, dynamic role with plenty of responsibility, this job is for you.

You will be responsible for:

  • Daily audits of project- and content creation progress and sending update messages to hold people accountable to their action list
  • Managing the progress of various content creation projects to make sure content deliverables are on track and are completed with no missing areas (attachments, images, unaddressed details etc.)
  • Joining and engaging in daily meetings with a list of items that you require updates on
  • Leaving meetings with clear actions for all participants and yourself, and your own plan to follow up accordingly
  • Completing admin tasks such as invoicing clients and paying team members, compiling research for content, completing onboarding checklists/tech set up, and other back end operation tasks
  • Various routine and ad hoc data entry tasks such as preparing analytics reports for clients using social media tools and Google sheets or Notion
  • Managing a virtual assistant to help alleviate their blockers, manage their workload, and pick up any slack over illness or holiday (this will require post scheduling, post distribution, and various small social media management tasks)

You will already have experience with:

  • Managing remote projects with a team of 5+ people
  • Communicating effectively in a remote-first environment using tools such as Slack and email
  • Using online project management tools such as Notion, ClickUp, Asana, or Trello to track progress, stay on top of everyone’s deliverables, and leave nothing unchecked
  • Google Workspace tools (docs, sheets, etc.)
  • Social media apps such as Twitter, LinkedIn, Instagram, and scheduling tools 

You may also have experience with:

  • Understanding of the content creation process and other needs/requirements of a client when creating content on LinkedIn and X
  • Social media management, including: inbox management, staying on top of notifications, distributing posts to engagement groups/pods, and writing comments/replying to comments on posts
  • The general operations of an agency, including financing and invoicing, people/team management, client acquisition, and fulfillment through internal or 3rd party contractors

  • You’re extremely proactive and thrive from talking to people, raising issues, and making sure things run smoothly and on track to hit tight deadlines
  • You’re a very well organised self-starter who comes to meetings with lists of actions, deadlines, and people you need to chase. 
  • You’re an A+ online communicator with a proven track record of effective and professional communication in a remote-first environment
  • You’re a fast thinker with a growth attitude who wants to work with a lean team who are creating some of the most viral content on LinkedIn and Twitter, and are always looking for ways we can be more effective as a team
  • You’re a strong independent worker, thinker, and learner who constantly strives to improve each day and asks yourself “can I find the answer to this myself?” before asking a question (but who’s also never afraid to ask the team for help!)

Compensation

  • $1000-2000/month depending on part-time or full-time role/experience (with room to grow from there)
  • This role is open to growth, we are looking for you to go above and beyond and will compensate generously for your efforts and initiative
