Job Description

We’re looking for a talented Operations Manager to join our Finance team and play a key role in supporting the finance and people-ops function. 

This role will require someone who is administratively gifted and, ideally, someone who has experience with US bookkeeping (although you do not need to be a CPA). Financial bookkeeping responsibilities will include tasks like end-of-month credit card reconciliations, managing team reimbursements, A/P, A/R and payroll. You will work closely with our Senior Accountant on these processes. 

Additionally, this role will take on some people-operations responsibilities like managing our team-wide benefits in addition to other administrative tasks. If you would describe yourself as a generalist, this role is for you.  

Responsibilities include

  • Financial bookkeeping responsibilities including: A/P, A/R, company credit card reconciliation and payroll (today we process four payrolls: U.S., UK, Canada, International pay runs).
    • You will also explore bringing UK payroll in house alongside our Senior Accountant. 
  • You will process all teammate reimbursements.
  • You will help prepare monthly Budget to Actual reports, as needed. 
  • You will support Financial and administrative record keeping including updating our salary change log, salaries sheet, personnel records and financial metrics. 
  • You will help track Software Tools costs.
  • You will track key metrics like retention and attrition. 
  • You will work with the finance team to help evaluate future global employment expansion needs.
  • You will help us review our team-wide benefits offering and research and make recommendations on changes. You will run our enrollment periods. Today, we offer a variety of health, dental, vision, disability, and retirement benefits in the US, Canada, and the UK. 
  • You’re excited to dig into detailed work like: worker’s compensation analysis and COBRA administration, STD/LTD, FSA & HSA administration, employment verification, I-9 verifications, & unemployment notices. 
  • You will assist Jenny, our Head of Finance & Business Operations, in maintaining compliance with federal, state and local employment benefits laws and regulations. 
  • You will work with our immigration attorneys to assist teammates with US visa needs, as needed. 
  • You will help manage our company correspondence (i.e. virtual mailbox).
  • You will help with Corporate filings and renewals.
  • You will help with setting up new teammates in our HRIS. 

About you

  • You care about the nitty gritty. You are detail-oriented and highly organized. You understand priorities, and are comfortable with frequent change.
  • You’re an excellent communicator both verbally and in writing. You know the impact of an emoji and can adjust your tone depending on your audience. 
  • You’re adaptable, patient and collaborative. You are flexible and don’t mind adjusting your priorities depending on the most pressing needs for the team.

Helpful Skills and Experience

  • Ability to manage multiple projects and priorities concurrently.
  • You have at least 3 years of HR and/or People experience.
  • You are familiar with US bookkeeping / US GAAP Accounting methods. 
  • You have experience running payroll. 
  • SHRM and/or CCP certification preferred but not required. Willingness to learn & grow and/or obtain these certifications down the road is required.

  • You will report directly to Jenny, our Head of Finance & Business Operations.
  • You will work closely with Kyle, our Senior Accountant. 
  • You will work closely with Caro and Jenna, our People Operations team.
